We're looking for a Head of Back-Office Systems & Processes to join our Finance team. 

The Head of Back-Office Systems & Processes is responsible for the implementation, integration, optimisation, and continuous improvement of business-critical back-office systems and workflows. This hybrid role combines process leadership with system enablement to ensure that back-office operations across the company are efficient, automated, and scalable.

The role includes leading and scaling a central team responsible for systems and process management, focusing on reliability, consistency, and alignment with strategic goals. The Manager is expected to set direction, ensure execution, and foster a high-performing and collaborative team environment.

This position is critical to building a scalable operational backbone for the company. It supports the shift from fragmented, manual processes to a unified, automated, and data-driven operating model, enabled by a strong central team working under clear leadership

Your main responsibilities are:

Systems Management & Integration

• Own and oversee the landscape of internal integrated back-office systems (e.g., ERP, contract management, billing platforms, etc).
• Validate and support the implementation of team-specific systems that operate independently from the company's core systems, while ownership remains with respective teams.
• Ensure smooth integration between tools (e.g., CRM → ERP → accounting → reporting)
• Collaborate with internal stakeholders and IT on configuration, testing, upgrades, and roadmap planning.
• Identify automation opportunities to reduce manual work and improve data consistency.
• Ensure a smooth handover of implemented systems and collaborate closely with the designated system administrators.
• Collaborate with software vendors to negotiate contracts, manage relationships, and ensure adherence to service level agreements (SLAs).

 Process Analysis & Optimisation

• Map and analyse end-to-end backoffice processes across teams (e.g. Sales, Ops, Finance, HR, Legal, Data, Procurement).
• Lead initiatives to streamline, standardise, and document workflows for scalability and compliance.
• Ensure process designs align with system capabilities and company goals.
  

Cross-Functional Collaboration

• Act as the bridge between functional teams (Sales, Finance, HR, IT, Legal, Data, Ops) to understand needs and pain points.
• Facilitate alignment on roles, responsibilities, and data flows across departments.
• Coordinate process and system changes with minimal operational disruption.
  

Reporting & Data Flow

• Ensure structured, consistent data flows to support reliable, real-time reporting.
• Partner with different teams to deliver reporting tools that reflect the current business logic and processes.
  

Governance & Documentation

• Maintain clear documentation of process flows, system interactions, SOPs, and ownership models.
• Promote a structured approach to process and systems governance, including version control and change tracking.

What we hope you'll bring to the table:

• Strong previous experience in business systems, operations, or process improvement roles.
• Technical Skills: Good understanding of enterprise business systems (e.g., ERP, CRM), database management, and system integration. Familiarity with the basics of programming languages (SQL, Python) is advantageous.
• Analytical Skills: Strong analytical and problem-solving abilities to identify system inefficiencies and develop effective solutions. Proficiency in data analysis and business intelligence tools.
• Project Management: Expertise in project management methodologies (Agile, Waterfall) and tools (Jira, Trello). Ability to manage multiple projects simultaneously and deliver results on time.
• Communication Skills: Excellent verbal and written communication skills to convey complex technical information to non-technical stakeholders. Capability to develop clear and concise documentation.
• Leadership: Strong leadership and team management skills to guide technical teams, manage vendor relationships, and drive cross-functional projects.
• Attention to Detail: Keen attention to detail to ensure data accuracy, system reliability, and compliance with relevant standards.
• Business Acumen: Understanding of business processes, strategic planning, and organizational goals. Ability to align technology solutions with business objectives.
• Adaptability: Willingness to stay updated with industry trends and emerging technologies. Ability to adapt to changing business environments and technology advancements.
