Executive Assistant to the Management Board

We are looking for an exceptional Executive Assistant to the Management Board — someone who brings clarity, confidence, and calm to a fast-paced environment, understands the vital impact of behind-the-scenes support, and adds a touch of healthy humour to every day.
You will be a trusted partner to three inspiring leaders — Veiko Veskimäe, Jüri Tamm, and Indrek Kaldoja. Together, they form an ambitious, professional, and people-focused team driving Verston's tenfold growth and international expansion.
The Board members will count on you to:
- Coordinate meetings of the Management Board, Group Management, and other governing bodies — prepare agendas, formalize minutes, and ensure follow-up on action points.
- Streamline Management Board workflows, documentation, and communication both internally and externally.
- Monitor the progress of strategic initiatives and remind stakeholders of upcoming deadlines.
- Draft and format documents for internal and external use, liaising with stakeholders as needed.
- Manage individual Board Members' emails and calendars, and support travel planning and logistics (we use TravelPerk as platform for business travels).
- Compile reports, presentations, and briefing materials (in-house Digital Designer and paid AI tools will help you)
- Ensure the secure handling of sensitive and confidential information.
- Organize and support meetings and events outside Tallinn or abroad, including logistics, accommodation, and transportation in close co-operation with the Office Manager.
- Manage access rights and permissions in SharePoint in line with the Management Board's workflow.
- Represent Management Board members in internal or external meetings when authorized.

You bring:
- Proven understanding of group-level leadership challenges and the ability to anticipate needs proactively.
- Ability to assert yourself confidently with senior executives.
- A degree in business administration, legal, or related field.
- 3+ years of experience supporting senior executives or boards at international HQ environment.
- Advanced Estonian and English, both verbal and written.
- High digital fluency and comfort with modern collaboration tools.
