Responsibilities1) Internal Events & Culture
- Plan, coordinate, and deliver internal events such as Summer Days, Winter Gala Awards, and Mission Day.
- Support department-level team-building activities as needed.
- Maintain the internal event calendar and ensure timely delivery of all events.
- Plan and execute seasonal and recognition moments (e.g., Valentine's Day, Independence Day, Women's Day, Halloween, Employee Recognition Days).
- Manage company office content: birthday and anniversary lists, holiday communications, and new employee welcomes.
- Arrange photoshoots for newcomers and ensure timely delivery of edited photos.
- Coordinate and communicate internal celebrations and key dates, arranging appropriate celebratory items.
- Oversee visitor hospitality, including meet & greet, meeting room bookings, and refreshments (snacks, sweets, promo packs).
2) External Events & Conferences
- Plan, organise, and manage company participation in external events and international conferences, with or without an exhibition stand.
- Research relevant conferences, secure sponsorships and passes, and liaise with organisers.
- Coordinate stand builders, manage design approvals, and oversee on-site set-up.
- Handle logistics for promotional shipments and materials.
- Be on-site for stand events to oversee execution and resolve issues in real time.
- Source and manage promotional merchandise for conferences and employees, including sampling, production, QA, and delivery.
- Generate creative concepts for stands, printed materials, and company profile banners in collaboration with the design team.
- Work with Marketing to deliver photo and video content from conferences for social media and post-event communications.
3) Travel & Executive Support
- Arrange travel for board members and staff (flights, hotels, visas, insurance, ground transport).
- Prepare detailed itineraries, calendars, and travel packs; ensure smooth coordination during trips.
- Manage business trip allowances and orders in line with internal policy.
- Organise full travel and on-site support for board members at international events.
4) Vendors, Procurement & Budget
- Source, brief, and manage contractors and suppliers (venues, A/V, catering, photographers, videographers, stand builders, logistics/shipping, merchandise vendors).
- Negotiate rates, oversee contracts and timelines, and ensure SLA and quality compliance.
- Manage purchase requests and invoices for all event-related orders.
- Track budgets, reconcile costs, and report actuals versus forecasts.
Requirements
- 3+ years of experience in event management, field marketing, or operations coordinating corporate and international events.
- Proven on-site management experience for conferences, including stand build oversight and live troubleshooting.
- Strong vendor sourcing and negotiation skills.
- Experience arranging executive travel and complex itineraries.
- Excellent project management, prioritisation, and attention to detail.
- Strong communicator in English; Estonian, French, or Russian is an advantage.
- Flexible to work occasional evenings/weekends in line with event schedules and international travel.
