Key Responsibilities:
Administrative Support
- Manage calendars, schedule meetings, and coordinate appointments.
- Handle correspondence, including emails and phone calls, on behalf of the management.
- Organize and maintain files, documents, and records.
Project Coordination
- Assist in tracking project timelines and deliverables.
- Liaise with contractors, suppliers, and clients to ensure effective communication.
- Monitor project-related expenses and assist with budget management.
Office Management
- Order office supplies and manage office inventory.
- Oversee travel arrangements and accommodation bookings for staff.
- Ensure the office environment is organized and conducive to productivity.
Personal Support
- Assist with personal errands and tasks as required by the management.
- Handle confidential and sensitive information with discretion.
Communication & Reporting
- Prepare reports, presentations, and meeting minutes.
- Act as the first point of contact for external stakeholders.
Qualifications:
- Previous experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills in Estonian and English (Russian is a plus).
- Proficiency in MS Office Suite and familiarity with project management tools.
- Discretion and trustworthiness in handling sensitive information.
