Office Administrator - Nordic Region
Location: Tallinn
The Office Administrator provides administrative and clerical support for the personnel and general manager of
the Tallinn branch. This role will also support regional human resources and finance activities and works closely with these headquarters functions.
Your Responsibilities Include
- Overall office administration, i.e. mail handling, printed materials, phone switch board handling and filing
- Fulfilling local Health & Safety requirements
- Supporting local travel arrangements, scheduling and organizing of internal and external meetings
- Coordinating the purchasing of supplies, acting as contact for local vendors, including administration of company car lease and mobile phone contracts
- Supporting the purchasing and handling of office equipment and interfaces with corporate information & services whenever needed
- Coordinating with Human Resources in the region & in headquarters on employee administration topics
- Supporting regional accounting activities and coordinating with Finance team in headquarters with all necessary data and documents. Supporting and training employees in the region with the rollout of the expense tool.
What You Bring To Us
- You have successfully completed an educational program as a commercial clerk in business administration, finance or a related field
- You preferably have a successful track record in a previous office managment role with a couple of years experience
- Effectively manages multiple tasks to meet deadlines, demonstrating independence and strong decision-making skills
- You have strong problem solving and organizational skills and are accurate, reliable, and have a high level of confidentiality
- Excellent written and verbal communication skills in Estonian, with good English skills and ability to communicate professionally with internal and external contacts
- Good working knowledge of all Microsoft Office applications
